Privacy Policy

The Jewish Federations of North America, Inc. (“we,” “our,” “us,” or “JFNA”) respects your privacy. This Privacy Policy explains what personal information we collect through this member directory (the “Directory”), how we use it, who can see it, and the choices you have. “You” or “your” refers to any person using the Directory.
The Directory is a private, sign-in-only website for invited members. This Privacy Policy applies to the Directory only. JFNA’s other websites are covered by the privacy policy published at www.jewishfederations.org.
This Privacy Policy forms part of the Directory’s Terms and Conditions of Use. By signing in to or using the Directory, you acknowledge that we collect, use and share personal information as described in this Privacy Policy. If you do not agree, please do not use the Directory.
Summary
- Your profile is visible to other signed-in members and to Directory administrators. It is not public.
- We record how the Directory is used, including sign-ins, pages viewed, and what is clicked, and this activity is linked to your account.
- We run our own usage analytics. We do not use Google Analytics, advertising networks, social media pixels, or any other third-party tracking service in the Directory.
- We use only the cookies needed to keep you signed in and to keep the Directory secure.
- We do not sell, rent or trade your personal information.
What Personal Information Do We Collect?
Information You or an Administrator Provide
Your account is created by a Directory administrator, either individually or by importing a membership list. Your account and profile may include:
- your name, including salutation, middle name and Hebrew name, and your email address;
- your cell, home and work telephone numbers;
- your pronoun, gender and date of birth;
- the names of your spouse and children, and of relatives who are Cabinet members or alumni;
- your primary address and an optional second address, with the dates they apply;
- your communities, class year, profession and leadership role;
- your bio and fun facts, and the “Open to” topics you choose to show;
- your profile photograph;
- links to your LinkedIn, Facebook and X (Twitter) profiles.
Most of these details are optional. For each address, you choose whether it may be shown to other members.
Your password is stored only in a salted, hashed form. We cannot read it, and we never record the passwords typed into the sign-in page.
Sign-In and Security Information
Each time someone attempts to sign in, whether or not the attempt succeeds, we record:
- the email address that was entered;
- the date and time;
- the outcome (for example: successful, incorrect password, unknown email address, account locked, account disabled, or too many attempts);
- the IP address the attempt came from;
- the browser and device type reported by the browser.
We use this information to protect accounts, to detect and investigate unauthorized access attempts, and to lock an account after repeated failed attempts.
Usage Information
While you are signed in, the Directory records how it is used. This information is linked to your account, so Directory administrators can see activity for an individual member as well as overall statistics. We record:
- the pages you view, when you view them, and how long you spend on them;
- how far and for how long you scroll on a page;
- the buttons, links and other items you click, including member cards and profiles you open;
- clicks on a member’s email address, telephone number, or LinkedIn, Facebook or X link;
- the searches you run and the filters you apply, including searches that return no results;
- the start, end and length of each visit, and whether you are currently online;
- your IP address, browser, operating system, device type and screen size, and the page that referred you to the Directory.
We do not record what you type into forms, other than search terms, and we do not record your screen.
Other members cannot see your usage information. In particular, members are not told who has viewed their profile.
Record of Changes
When a profile or account is created, edited, disabled or otherwise changed, we keep a record of what changed, when, from which IP address, and which member or administrator made the change.
Cookies and Similar Technologies
A cookie is a small text file placed on your device by your web browser. The Directory uses only the following, all of which are set by the Directory itself:
- Sign-in cookie. Keeps you signed in. It expires after 12 hours without activity or when you sign out.
- Security cookie. Protects forms against cross-site request forgery. It is removed when you close your browser.
- Visit identifier. A random identifier kept in your browser for the length of your visit so that the pages and clicks of one visit can be grouped together. It is removed when you close your browser.
These are strictly necessary to operate and secure the Directory, so the Directory cannot be used with cookies blocked. We do not use advertising cookies, third-party analytics cookies or social media pixels, and the Directory’s pages contain no web beacons. Emails sent to you by the Cabinet administrators are different: see “Emails from the Cabinet Administrators” below. How We Use Personal Information
We use the information described above to:
- operate the Directory and show your profile to other members;
- create and manage accounts, including sending emails that let you create or reset your password;
- keep the Directory secure and investigate suspected misuse;
- understand how the Directory is used, which features and profiles are most used, and what members search for, so that we can improve it;
- measure member engagement with the Directory and report on it within JFNA;
- contact you about your account or about changes to the Directory;
- comply with our legal obligations.
Who Can See Your Information
Other Members
Your profile is visible to other signed-in members of the Directory. An address is shown to other members only if you have allowed it. If your account is disabled, your profile is no longer shown to members.
If your date of birth is on file, the day and month (never the year) are shown to other members in “Birthdays this week”. You can turn this off at any time on the “My Profile” page.
Members can save the details your profile shows them to their own device as a contact card. Once saved, that copy is outside the Directory and under that member’s control.
Directory Administrators
Authorized JFNA administrators can view and edit profiles and accounts, and can view sign-in, usage and change records, including records for an individual member.
Service Providers
We use trusted service providers to host the Directory and its database and to deliver email on our behalf. They may process personal information only on our instructions and not for their own purposes.
Other Disclosures
We do not sell, rent, swap or trade your personal information. We may share it with JFNA’s member Jewish Federations and with not-for-profit organizations that collaborate with JFNA in connection with the program the Directory supports. We will also share personal information when that is necessary:
- to protect our rights or property or the safety of our employees or others;
- to comply with a court order or legal process, or to respond to a governmental or regulatory request;
- to transfer information in the event of a merger, transfer of assets, or other organizational restructuring; and/or
- to prevent, or take other action regarding, actual or suspected illegal or fraudulent activity or potential threats to the physical safety or well-being of any person.
Emails from the Cabinet Administrators
The administrators of the Directory may email you news, invitations, reminders and notices, using the email address of your account. These emails may be personalized with details from your own profile, such as your name, community or class year; your details are never included in an email to another member.
So that the administrators can tell whether their emails reach members and are useful, an email may contain a small image that records that the email was opened, and its links may pass through the Directory so that a click is recorded before you arrive at the destination. We record, for your account: whether and when the email was delivered, opened or a link in it was clicked, the internet address and the mail or browser software that made that request, and whether the email could not be delivered. Only the administrators of the Directory see this information. We do not use an outside email marketing service, and this information is not shared with or sold to anyone.
Every such email contains an “Unsubscribe” link, and you can change your choice at any time on the “My Profile” page. If you unsubscribe we will still send you essential notices about your account or your membership, and the emails you request yourself, such as a link to set or reset your password. Most mail applications also let you stop images from loading, which prevents the open from being recorded.
How Long We Keep Information
We keep your account and profile for as long as you are a member of the Directory. We keep sign-in, usage and change records for as long as the Directory operates, unless you ask us to delete them and we are not required to keep them.
Your Choices
- You can review and update your profile, including your photograph and social media links, at any time on the “My Profile” page. Apart from the details the Directory requires, you choose what to include.
- You can stop receiving emails from the Cabinet administrators with the “Unsubscribe” link in any of those emails, or on the “My Profile” page. Essential notices about your account or membership are still sent.
- You can ask us to disable your account, which removes your profile from the Directory.
- You can ask us for a copy of the personal information we hold about you, to correct it, or to delete it, including your sign-in and usage records.
To make a request, contact us using the details below. Depending on where you live, you may have additional rights under local law, and we will honor them.
Information Security
The Directory is available only over an encrypted connection and only to signed-in members. Passwords are stored in hashed form, accounts are locked after repeated failed sign-in attempts, and access to administrative features and records is restricted to authorized administrators. However, no security system is impenetrable, and no transmission or electronic storage of information is guaranteed to be secure.
Children’s Information
The Directory is intended for adults. We do not knowingly collect personal information about children under 13 years of age through the Directory.
International Transfers
We are based in the United States. Information you provide and information we collect through your use of the Directory is stored and processed in the United States, where privacy and data protection rules may differ from those in your country.
Third-Party Links
Member profiles may link to LinkedIn, Facebook, X and other websites we do not own or control. We record that a link was clicked, but we do not send those websites any information about you. Once you leave the Directory, the privacy policy of the website you visit applies.
Changes to This Privacy Policy
We may revise this Privacy Policy from time to time. We will post the revised version on this page and update the Effective Date above. If a change significantly affects how we use your personal information, we will also notify members by email or by a notice in the Directory.
